Customer Service Officer (using SAP)
We are seeking a proactive and highly organised Customer Service & SAP Administration Officer to join our team and play a key role in supporting our sales and operations functions. This is a part-time role based in Melbourne South East, offering lots of flexibility and has the opportunity for a permanent position after the initial contract.
This position is central to delivering outstanding customer service while ensuring accurate and efficient administration across multiple business functions. You’ll work closely with Sales, Production and other internal departments to ensure seamless order processing, purchasing coordination and data management.
About the Role
This is a hands-on position combining customer service excellence with strong SAP and administrative capability. You will be responsible for managing orders end-to-end, maintaining accurate master data, supporting purchasing processes, and contributing to forecasting and continuous improvement initiatives.
Key Responsibilities
Customer Service & Order Management
- Process and manage orders in SAP, including order entry, invoices, credit notes, contract and sample orders
- Respond to customer enquiries relating to deliveries, proof of delivery (PODs), certificates of analysis (COAs) and stock availability
- Support Key Account Managers with sales data, stock on hand and availability reporting
- Manage customer portals to oversee orders, deliveries and invoicing
Master Data & Systems
- Create and maintain accurate vendor master data within SAP
- Ensure data integrity across systems and documentation
Purchasing & Imports
- Collaborate with Production to raise and manage purchase orders for imported goods
- Maintain and update purchase orders in SAP and Excel
- Oversee purchasing and sales activities within relevant portals
Forecasting & Samples
- Work with Key Account Managers to maintain and update sales forecasts
- Coordinate and manage product sample requests through internal systems
Collaboration & Improvement
- Provide daily cross-functional support to ensure smooth operational processes
- Identify and implement process improvements within customer service and administration
- Stay informed of relevant changes impacting imports and compliance
About You
- Minimum 2 years’ experience in customer service and administration
- Strong SAP User experience (essential)
- Advanced Excel capability
- Importing experience highly regarded
- Excellent written and verbal communication skills
- High level of accuracy and attention to detail
- Ability to prioritise, multitask and meet deadlines
- Analytical, proactive and solution-focused
- A team player with a positive attitude and willingness to learn
